Write the operator note around decisions
Run a practice handover while the usual operator is available. Ask the second adult to find a sample record, check a recent backup and identify the next recovery step. Record any dependency on a personal login so the household understands what happens when that person is away. Include how to tell whether the service is up, where the current backup is, how the host starts after a restart, and who can authorize a restore. Keep passwords and recovery keys out of the ordinary handover sheet.
Run a practice shift
Ask the incoming operator to open a fictional note from a second device, identify the latest rehearsal backup and explain what to do if the host is asleep. Let them use only the agreed instructions. Document missing dependencies, including any personal login required for normal startup.
Separate maintenance from household access
Someone able to operate the server or its backups may have broader access than an ordinary household member. Agree on that responsibility explicitly. If no second operator is available, tell the household which functions may be unavailable when the usual operator is away and how to retrieve essential non-sensitive information meanwhile.
