Make the current version and next action unmistakable

A useful handoff says “Trip form, version sent Monday. I filled in the contact details and signed page two. Please review the whole form, sign page three, and send this same copy back by Tuesday evening.” State who will submit it and the actual deadline from the organization. If either signer corrects a material detail after the first signature, check whether the issuer requires both people to review the changed version.

Avoid creating two incomplete final copies

If the form needs both signatures on the same copy, identify the current version and retire the earlier draft. Assign someone to submit it and save the confirmation. Two signed copies in separate inboxes do not establish that either reached the intended recipient.

Confirm delivery through the method the recipient accepts

Some forms require the original paper; others accept an upload or email. Check what counts as received before assigning the final trip or submission. If one signer cannot use the required method, contact the issuer while time remains rather than combining screenshots on the assumption they will suffice. After submission, keep the receipt, acknowledgment, or other available evidence. A signed document still sitting on the kitchen table is ready to send, but it has not met the deadline.
