Give the outgoing and incoming adults different jobs
The outgoing person describes the current state. The incoming person decides whether they have what they need and accepts the next action. For the parcel, “Packed, return label still in my email, drop-off closes at six” exposes the access problem immediately. Ask the outgoing person to provide the label before leaving. If they cannot, agree an alternative rather than starting the incoming person on an errand they cannot finish.
Confirm the information needed for the next step
Check whether the incoming person has time and access. If the label is in a private account, the outgoing person can print or send it before leaving. A handoff that omits the only usable label remains unfinished.
Keep the update short enough to read during the changeover
Lead with a deadline or consequence that will occur before the two adults next overlap. Put less urgent background below it. If timing is tight, ask the incoming person to read back the action and finish time; a thumbs-up may acknowledge a message without accepting the job. When a shift changes a second time, replace the outdated instruction and tell the person who received it. Yesterday’s accurate note should not become today’s accidental assignment.
