Match the export to the request

Before sending a file, open it locally and inspect the actual contents, including additional sheets or folders. For a household move, a list of packed boxes may be enough for the helper carrying them. Keep the complete household archive with the people who need to manage it. Ask which question the recipient needs answered and for what period. A dated inventory of boxes serves a different purpose from a full backup of the home service.

Inspect what actually leaves

Open the export before forwarding it. A spreadsheet may contain extra sheets, old comments or hidden columns. A folder can contain attachments that are absent from its index. If you make a smaller copy, open that copy and confirm that it contains only the intended records and can be read without your account.

Agree on the end of access

Tell the recipient which copy is current and whether you expect it to be discarded after the task. If the information changes often, a limited shared view may be more suitable than repeated exports. Only use a view whose access boundary you have checked.
