Try the search terms a second person would use
For a missing “camp chair,” try the labels “folding chair” and “outdoor gear.” Ask the owner whether the record was private. Keep private records private; finding the item may require asking the owner for the relevant fact rather than sharing their entire note. “Camp chair,” “folding seat” and the equipment box number may refer to the same item. Search one term at a time so you know what changed the result.
Inspect scope before widening access
Ask whether the search covered titles, note bodies, attachments and the correct household. Check whether the account is entitled to read the expected record. A tool error or unavailable integration should be reported as a failed search, not as evidence that there are no matching records.
Use a safe control
Create an invented note with a distinctive phrase and repeat the search from the intended account. If the assistant finds that note, the search path works for at least one known record. If it still misses the real item, check naming, age and ownership. Do not make private notes public to troubleshoot a general search problem.
