Write the general rule and its exception
One note might say “Put parcels at reception,” while another says “Large parcels go to the loading entrance.” A merged note can state both, with a size rule if the building provides one. If the rule is unclear, retain a contact for confirmation. Choose the detail that determines which instruction applies. For parcels, it might be size, staffing hours or the carrier. Do not collapse differences that would send the reader to the wrong entrance.
Use a decision sentence
“During staffed hours take small parcels to reception. If reception confirms the parcel is oversized, use the loading entrance.” That gives the reader a rule and a decision point. If you cannot define oversized from an official source, provide a contact rather than inventing dimensions.
Retire both old answers deliberately
Link any old household entries to the merged instruction or clearly mark them replaced. Check printed sheets and pinned chat messages too. Ask someone who did not merge the notes to work through one regular case and one exception. If they arrive at different answers than intended, clarify the condition. Try both a normal delivery during opening hours and an oversized parcel arriving when reception is closed.
