Treat volunteer language carefully
If a summary says “Mina will collect the chairs” because Mina mentioned a van, ask Mina directly. Until she agrees, record that the collection needs an owner. Update the shared record after her answer so the next assistant summary has a better source. “I have a van” may explain who could collect something. “I will collect the chairs Saturday at 10” commits the speaker to a specific action. Preserve that difference in the task record.
Correct both the owner and the source
If the assistant inserted a name without consent, restore the task to unassigned or to its previously confirmed owner. Ask the proposed person directly. When they answer, record the task, date and scope they accepted. A reply to collect chairs does not commit them to return the chairs after the event.
Prevent the same mistake
Check whether the assistant is treating a suggestion, availability or equipment ownership as agreement. Give it a clear rule to mark candidates separately from confirmed owners, and rely on the app's acceptance controls where available. If the proposed date changes later, obtain a new answer instead of carrying the original commitment forward.
