Place each missing answer beside the job it controls

A shift confirmation affects Friday pickup; a guest headcount affects Saturday dinner; a repair window affects who can use the car. Give each uncertainty its own line with the source, the person who will check, and the last time a decision can still be made. This lets someone resolve the shift without having to settle the dinner or repair at the same time. Put confirmed details in the normal calendar so they do not disappear among open questions.

Activate the earliest backup only when its trigger occurs

Choose a simple backup for the earliest unresolved duty and tell the person who would need to act. If the confirmed shift leaves the usual collector available, release the backup. If it prevents collection, ask the backup to take the job under the agreed arrangement. If the shift is still unknown at the deadline, follow the contingency both people accepted.

Close uncertainty with a message people can act on

When the rota arrives, tell the primary and backup collectors which arrangement is now confirmed. If it does not arrive by the trigger time, follow the agreed alternative and note who accepted it. Then review the next open line; somebody waiting for a guest count may still need another day. A household can enter the week with unanswered questions and a usable plan as long as every important gap has an owner and a decision point.
