Follow the helper’s usual day from start to finish

For a regular sports pickup, the helper may collect kit from home, get to the school gate, wait until the coach arrives, and take equipment home afterward. Ask which steps need replacing and which can disappear for the week. Mark any that require authorization, such as a school collection or venue sign-out. Before promising a substitute, check the organizer’s rules and confirm that the helper can meet them.

Assign each uncovered part to someone who accepts it

Ask replacement helpers about one specific duty at a time, check any authorization the school or organizer requires, and record who accepted. If a part remains uncovered, change the activity or contact the organizer early. An unavailable helper does not automatically transfer their work to whichever adult has the shortest calendar.

Choose a smaller arrangement if full coverage is impossible

If a substitute can drive to practice but cannot stay until the coach arrives, a second adult must accept that transition or the activity may need to change. Tell the organizer early if attendance is uncertain, and agree who will make the final call. Once normal coverage resumes, tell the temporary helpers which duties have ended. A person willing to make one trip should not quietly become the permanent backup for the whole routine.
