Choose the smallest useful coverage window
List bills that will arrive, need a check, or become due during the absence. Do not hand over an entire filing system for a five-day trip. For each relevant bill, leave the date, status and expected evidence. Distinguish paying the bill from checking an automatic payment.
Test what the covering person can actually do
Ask them to find the current statement and the account reference using access already authorized for them. Can they see a payment confirmation? Can they speak to the provider? If they can only see a shared calendar, they can remind the account holder but may be unable to resolve a missing payment.
Set an escalation point
Do not put account passwords or full payment details in a shared reminder. If only the account holder can speak to the provider, check its rules for authorized contacts before the trip. Arrange a backup contact time for a decision that cannot be delegated.
For example, “If Thursday's internet payment has not appeared by Friday morning, message me with the date and amount. Do not send a manual payment until I confirm.” Include a backup if you will be unreachable. On return, close the temporary coverage and review only items the substitute person left unresolved.
