Establish the last plan the collector actually received
Before sending another change, look at the agreed time, entrance, and person currently responsible. Then send only the information that changed. “Practice ends at the main gate at 4:15 today; please confirm when parked” gives a driver one revised destination. Avoid sending a chain of speculative locations. A passenger can relay an update, or the driver can stop safely to check; the plan should work without reading a moving phone.
Keep the original location covered if the update is unconfirmed
Suppose practice ends at the main gate instead of the gym doors. If the driver cannot reply, keep someone at the original agreed point or ask the organizer to direct them. Two people independently searching a large site can easily pass each other.
Distinguish a new destination from a new collector
Moving the pickup from the gym doors to the main gate does not automatically transfer responsibility to an adult standing at that gate. If a different adult must collect, the organizer needs the correct name and any required authorization. Check who accepted both the location and the duty before leaving. Once the person has been collected, tell anyone still waiting at the original location. Otherwise they may continue looking even after the arrangement has succeeded.
