Send one pickup message people can read back
A practical message is “Thursday, 3:15, collect from the sports entrance beside Court Two. The coach is expecting Morgan. Can you take it?” Add any item that has to travel and a number for the person responsible if arrangements change. Keep private background out of a message that only needs collection details. If the organizer needs identification or advance authorization, confirm that before promising a substitute collector.
Check who is responsible while the change is pending
For example, the school office and the sports entrance can be on opposite sides of the same building. Name the correct entrance and check that the person collecting is authorized. The original collector keeps responsibility until the change is accepted and communicated to the organizer as needed.
Close the pickup with a simple confirmation
The substitute can reply “I have them and the music bag; we are heading home.” That confirms a different fact from “I can collect.” If the activity ends early, the previous message may no longer be usable. Contact the collector and organizer directly rather than assuming an edited calendar reached them. When the collector cannot attend, the previous owner still needs to arrange an approved alternative; sending a request to several people does not establish who will arrive.
