Filter by audience before date

A school bulletin might announce both a beginner concert and a senior rehearsal. Copy only the relevant event into your plan, and include the group name in the title. If the audience is unclear, ask the organizer before adding a date everyone might treat as confirmed. Identify the relevant group, year, level or location first. Two groups can use the same venue on different days, so a matching room name alone is weak evidence.

Use a three-column shortlist

For each possible event, record “applies to us,” “registration needed” and “next action.” If the beginner concert applies but booking is required, place registration on the task list and the performance on the calendar as provisional. Leave senior rehearsal off the plan unless the organizer confirms that beginners must attend.

Keep updates connected to the same event

When the next newsletter arrives, compare its group name and event date to the existing entry before adding another copy. Update the original event if it is a correction. If it is a second session, create a new entry and retain the difference in the title.
