Describe only the observation
If the camera case is empty, write “Case checked Sunday; camera absent. Last known use: weekend picnic.” Check nearby charging and packing locations before buying a replacement. Update the inventory when someone finds the camera, including the place it was found. An empty case rules out only that location at the time you checked it. Record who checked, when and whether the charger, strap or other accessories were still present.
Create a short search path
Start with the last confirmed use, then check likely transitions: charging point, travel bag, person who packed up and any agreed loan. Ask neutrally: “Do you remember where the camera went after the picnic?” A borrowed item and a misplaced item call for different follow-up, so avoid assigning blame from the empty case.
Close the inventory entry
If found, record the actual present location and put the item there. If a person confirms a loan, add holder and return arrangement. If it remains missing, keep the last confirmed sighting and open question available. Do not add a replacement to the inventory as though the original has already been disposed of. If it turns up in a borrowed bag, note who returned it and the current storage location before closing the search.
