Write the handoff
For example, “Desk delivery Wednesday, noon to 4. Please answer the side door and count two boxes.” If the courier changes the day, update the delivery note. Avoid forwarding an entire email chain that also contains billing details or unrelated orders. Include the order reference only if the person receiving the delivery actually needs it. Some references or links permit changes to an order; keep those with the buyer.
Make responsibility explicit
The recipient needs to know what they have agreed to do. “Someone will be home” is different from “Rae will answer the side door.” Ask for a reply and give them a way to contact the buyer if only one box arrives. They can report what they saw without signing off on contents they did not inspect.
If tracking changes
Check the buyer’s original tracking notice and send a fresh window to the person waiting. State which time it replaces. If the delivery now requires an authorized signature, verify what the courier accepts before asking another adult to act. Do not put a one-time collection code in a permanent household note.
