Extract the supply status
An event email might say “Bring a water bottle; mats are provided; hats are optional.” Put the bottle on the packing list and leave mats off the shopping list. If you cannot tell whether each person needs a separate bottle, keep the question with the event rather than guessing a quantity. For each item, name who brings it and how many are needed. “One pencil per team” generates a different shopping task from “one pencil per participant.”
Create a packing note someone can check
Use three short groups: bring, supplied, optional. Against “water bottle,” put the participant’s name and whether one is already packed. Against “mat,” write “provided at venue.” Against “hat,” leave a decision for the participant. Separating the groups prevents the shopping list from filling up with items the organizer supplies.
Check the morning-of exceptions
Look for an amended email about weather, a venue change or a special session. If one person needs different equipment, keep that instruction with their own packing list rather than changing everyone’s. When the issuer does not specify quantities, ask a precise question before buying extras.
