Read the instruction back

“I heard east entrance, 4:15, one bag. Is that right?” gives the sender a quick check. If the recording could say 4:50 instead, mark the time unresolved. Keep the written confirmation with the pickup rather than treating a rough transcription as final. Give the sender a simple correction route. “Please confirm 4:15, east entrance, one bag” invites a useful yes or a precise change without requiring a second long voice message.

Build the confirmed pickup note

Keep the meeting person, date, time and place together. Add any eligibility or authorization requirement from the organizer. “Sam, Thursday 4:15, east entrance; bring the collection slip” is a usable note once Sam agrees. If a sender confirms the location but not the time, mark only the location as settled.

When the sender is unavailable

Leave the disputed detail open and arrange another way to confirm it. If someone has already left, send them the uncertainty and a contact route rather than presenting 4:15 as final. Keep the recording private if it includes unrelated conversation; the shared note needs only the pickup facts.
