Choose the editing location

For a household equipment list, the shared document might be the master and the printout in the toolbox a dated copy. If someone writes on the printout, move the correction into the master before printing again. Otherwise a later update can erase their change. Name the specific shared document, binder or app record, not just the service. If a member reports an error by chat, identify who transfers that correction to the master.

Label copies so a reader can trace them

A toolbox printout might read “Equipment index, copy dated May 6; current version in the household handbook.” It can still be used offline. A handwritten change on the printout is a proposed update until someone checks it and enters it in the master.

Resolve a disagreement between copies

Check which was last edited, then verify the underlying fact. The newest timestamp can belong to a copy that merely changed formatting. If nobody can verify which location is current, mark it as an open check. Once confirmed, update the master and issue a fresh copy. Put the approved correction and its date into the editing copy before circulating another printout.
