Write a record someone can read without the original discussion

Use one sentence for the choice and a second for the action. “Choose Saturday morning because both adults can attend. Noor will book it by Wednesday; maximum total $50.” Add the people affected and any condition that would require a fresh decision. This preserves the result of the conversation without forcing the next person to interpret a long exchange of suggestions or work out which price was approved.

Wait for confirmation before marking the booking complete

Keep the booking status separate from the decision. If the Saturday slot sells out, Noor can return with the remaining choices. The household agreed to a time; it did not agree to any substitute. Mark it booked only when confirmation arrives. Until then, record the pending action or any alternative that needs a new decision.

Describe what to do if the approved option disappears

If Saturday morning has sold out, Noor can ask whether the household prefers Sunday or another week. The original decision did not give permission to spend more or book another time unless it explicitly said so. Put the new outcome beside the original record: “Saturday unavailable; waiting for reply on Sunday afternoon.” When the booking is confirmed, save the actual time and reference where the people who need them can find them.
