Check the source for every day with an exception

Start with the school’s latest notice, including the pupil group and activity it applies to. Write the actual finish time beside each school day that differs from normal. If Friday ends early every week but Wednesday is a one-time change, label those separately. Then write the collector’s name and which gate or after-school program applies. That final detail can change even when the classroom finish time is correct.

Send the exceptional day to the person covering it

Read the schedule from the school’s latest notice and confirm which gate or program applies. If someone covers Wednesday only, send that person the specific time rather than the whole week. Recheck the next week before turning the exception into a recurring change.

Look at the next ordinary week before saving a repeat

A one-off early release can accidentally become a weekly pickup if a recurring record is edited without checking the following date. After saving the change, inspect both this Wednesday and the next. If an outside helper covers only one of them, ask for explicit acceptance of that specific date. When the school issues a correction, tell the helper directly and retire the old instruction so two collection plans do not survive side by side.
