Follow the responsibility beyond its final regular date

When a course ends, list the jobs that will disappear and the jobs that still need a final action. Weekly transport and practice reminders can end after the last lesson. Returning an instrument, collecting a deposit, or checking the last invoice may take longer. Write down the actual finish date for each. The calendar’s last lesson is a useful starting point, not proof that all connected work is complete.

Keep reference information outside the active rota

Ask the job owner to list those last actions before deleting future reminders. Close them when the results are confirmed. If lessons might restart later, keep the useful contact or equipment information separately so it can be reused without keeping obsolete weekly duties active.

Check the next date on which the old task would appear

After ending a recurring reminder, look at the following week from the usual owner’s perspective. Would they still be prompted to drive, pack the kit, or arrange a meal around the class? Remove those obsolete prompts. Preserve any open return or payment until there is confirmation. If the course restarts next term, check the new dates and requirements with the organizer rather than turning on a schedule that describes the previous term.
